Position Summary

The Controller is a hands-on leader responsible for day-to-day accounting operations and financial reporting for a warehousing and transportation business operating across multiple entities. This role owns the month-end and year-end close, consolidated financial statements, internal controls, audit readiness, and compliance with GAAP and applicable regulatory requirements. The Controller works closely with Operations leadership to ensure accurate customer billing alignment, labor and payroll allocations, repairs and maintenance expense tracking, and proper accounting for fleet, facilities, and capital assets. This role is on site, Monday through Friday. 

Key Responsibilities

Hands-On Close, Financial Reporting, and Forecasting

  • Perform and/or directly oversee daily accounting activities including general ledger entries, account reconciliations, and review of AP/AR postings.
  • Own the month-end and year-end close process, including preparation of journal entries, accruals, prepaid amortization, and variance explanations.
  • Prepare and review consolidated monthly financial statements, supporting schedules, and management reporting packages.
  • Maintain and improve close checklists, workpapers, and documentation to ensure accuracy, consistency, and timeliness.
  • Assist in budgeting and forecasting, including net income, EBITDA, cash flow and revenue.

Industry-Specific Accounting (Warehousing & Transportation)

  • Ensure accurate revenue recognition for warehousing (storage, handling, value-added services, direct-to-consumer) and transportation (linehaul, fuel surcharge, accessorial) activities, including customer contract review and billing alignment.
  • Own customer billing reconciliation processes—validate shipment/warehouse activity data against invoices, resolve discrepancies, and partner with Operations to improve billing accuracy.
  • Maintain strong controls over payroll and labor allocation processes and intercompany expense allocations (where applicable).

Cash, Working Capital & Balance Sheet Integrity

  • Ensure timely recording of deposits, ACH/wire activity, and reconciliations.
  • Own balance sheet integrity across all entities, including AR aging, reserves, prepaid accounts, accruals, intercompany balances, and fixed assets.
  • Partner with operations and sales to improve collections and dispute resolution processes; monitor DSO and aged receivables.

Fleet, Fixed Assets & Capital Accounting

  • Maintain lease accounting support (ASC 842) for facility, equipment, and vehicle leases, coordinating with external advisors as needed.
  • Oversee fleet and fixed asset accounting for tractors, trailers, forklifts, racking, and facility improvements—capitalization, depreciation, disposals, and tracking.

Internal Controls, Audit & Compliance

  • Design and maintain internal controls across cash, AP, AR, payroll, revenue/billing, and journal entry approval workflows.
  • Serve as primary liaison to external auditors and lead audit preparation, fieldwork coordination, and completion of requested schedules and support.
  • Ensure compliance with regulatory reporting and documentation relevant to transportation and warehousing operations.
  • Oversee filing of sales and property taxes.

Systems & Process Improvement

  • Own accounting system integrity and master data (chart of accounts, cost centers, customer/vendor setup); maintain strong controls over changes.
  • Maintain and enforce a documented system of accounting policies and procedures.
  • Partner with Operations, Dispatch, and Warehouse leadership to improve upstream data quality feeding billing and financial reporting.
  • Partner with CFO to drive automation and process improvements to reduce manual work, shorten close timelines, and improve reporting accuracy.

Leadership & Team Management

  • Lead, develop, and support the accounting team; set clear expectations and ensure accountability for daily execution.
  • Provide hands-on coaching and technical guidance; review work product and ensure consistent application of policies across entities.
  • Establish cross-training and back-up coverage for critical accounting processes to ensure continuity.
  • Support recruiting efforts related to the buildout of the Company’s finance department.

Qualifications

Required

  • Bachelor’s degree in Accounting, Finance, or related field.
  • 7–10+ years of progressive accounting experience, including ownership of month-end close and financial reporting.
  • Demonstrated hands-on experience preparing journal entries, reconciliations, and consolidated financial statements.
  • Strong knowledge of GAAP, internal controls, and audit preparation.
  • Experience in transportation, logistics, warehousing, distribution, or a closely related industry strongly preferred.
  • Proven team leadership experience; ability to work cross-functionally with Operations and leadership.

Preferred

  • CPA designation preferred.
  • Experience with ERP/accounting system implementations or major upgrades.
  • Familiarity with transportation and warehousing management software strongly preferred.
